EASYWRITE PASS PROGRAM
Employee Travel Cards (ETC)
ETCs are issued by Pass Bureau in accordance with eligibility requirements. If you leave the Company for any reason (retire, furlough, terminate, LOA, etc.), you must turn in your ETC.
Issuance
When you become eligible for Pass Travel, you must apply for an ETC by completing Form HAL A-64, Application for ETC, which will allow you to self-authorize travel for yourself and your Eligible Dependents. Information provided will be input into EMP STAR for airport reference. Check your EMP STAR (N*Emp#) in Sabre once you become eligible for the ETC to ensure all travel information is correct. See Section 24 for a sample of the ETC.
Spouse Cards
Although it is optional, you may also request an ETC for your spouse. You must complete Form HAL A-64, check off "Spouse Card" in the upper right hand corner, and submit it along with a copy of your marriage certificate to Pass Bureau. Spouses can authorize travel for themselves and Eligible Dependents, but they cannot authorize travel for Parents or FTPs. See Section 24 for a sample of a spouse card.
Revoking Spouse Travel
As an employee, you are responsible for all travel segments issued with a spouse travel card. Should it be necessary, you may revoke or suspend spouse travel by notifying the Company in writing. You must include your name, your employee number and the reason for the revocation request and forward it to Pass Bureau.
If you are divorced and you remarry, you must update your EMP STAR to ensure that your new spouse is eligible to travel. Once the EMP STAR is updated, a new spouse card can be issued for your new spouse. There is no charge for adding a new spouse.
Retiree Travel Card (RTC)
If you retire, you must turn in your current ETC in order to be reissued a RTC. Your travel benefits will be based on your retiree status. See Section 24 for a sample of the RTC. No spouse or surviving spouse cards are issued for retirees spouse.
Replacement Cards
If you need to request a replacement travel card for any reason (i.e., you changed your name), you must turn in your ETC/RTC before a new one can be issued. Complete Form HAL A-64, attach the necessary documents and forward it to Pass Bureau with your current ETC/RTC. Your EMP STAR record will be updated. There is no charge for a replacement card.
Lost/Damaged Cards
You must complete Form HAL A-64, check off "Lost/Stolen Card" in the upper right hand corner and forward it to Pass Bureau. If your card is damaged, enclose the damaged card with the form. There is no charge for a lost or damaged cards.
EasyWrite Pass
EasyWrite Passes (Form 0041) may be obtained from your department or any HA ATO/CTO, and must be imprinted using the ETC/RTC/STC. The EasyWrite Pass must be completed and signed before presenting it to the ATO agent who will check for identification at the time of travel.
HA Employees Married To Other HA Employees
If you are married to another HA employee, you can either hold your respective ETCs or hold a spouse card. You may not hold both. If you are an employee and also the surviving spouse of an employee, you will not receive a surviving spouse travel card unless your deceased spouses travel benefits will offer a greater travel benefit. If you choose to use your deceased spouses seniority date, you may not travel using the EasyWrite Program, but must request your Pass Travel through the Pass Bureau.
