TRAVEL PROCEDURES/RESTRICTIONS


Pass Travel can be a fun and exciting adventure. However, in order for your travel to go as planned, it is important that you and your Pass Travelers are familiar with the following travel procedures and restrictions.

(  Baggage
You and your guests are limited to the number and size for checked and carry-on baggage which is allowed for revenue passengers. The number of items currently allowed to be checked in on HA in is two. Carry-on items may be further restricted based on space availability and government baggage limitations. If the flight is full or all the storage areas are full, your bag will be checked in at the gate.

A briefcase is considered one of the allowed pieces, as are garment bags. Baggage must fit in an overhead compartment or under a seat. All baggage must be completely stowed before the aircraft may depart the gate. Use of equipment such as portable radios, TVs, cellular phones, video cameras and some electronic toys will not be permitted during flight. Laptop computers may be used only at specified times during flight.

HA’s Contract of Carriage and tariffs (and that of most airlines) do not permit Pass Travelers to file a claim for any loss, damage or delay of checked-in baggage. You may want to carry those items of value with you to avoid any problems.

(  Hazardous Materials/Dangerous Goods

Many common items used everyday in the home or workplace may seem harmless, however when transported by air, they can be very dangerous. In flight, variations in temperature and pressure can cause items to leak, generate toxic fumes or start a fire.
Do not pack in luggage or carry on board:
(   Fireworks: Signal flares, sparklers or other explosives
(   Flammable liquids or solids: Fuel, paint, adhesives, lighter refills, lighters with a flammable liquid reservoir, matches
(   Household Items: Drain cleaners, bleach, solvents
(   Pressure Containers: Spray cans, butane fuel, scuba tanks, propane tanks, Co2 cartridges, self-inflating rafts
(   Weapons: Firearms, munition, gunpowder, mace, tear gas or pepper spray. U.S. Government regulations do not allow firearms in carry-on baggage. These regulations also require that firearms in checked baggage be unloaded, declared and presented in hard case or a crush proof container manufactured specifically for shipment. Containers with handguns must be locked.
(   Other hazardous materials: Specific rules apply to certain hazardous materials such as dry ice, wet-cell batteries and radioactive materials.
(   All other items classified by the U.S. Government as hazardous materials.

Carrying unauthorized dangerous goods aboard an aircraft may be prosecuted as a civil or criminal offense and may be subject to penalty.

Due to security restrictions, it is necessary for you to travel on the same flights as your checked baggage to international and select domestic locations. For this reason, once you, and/or your guests are placed on the priority list, you must be willing to accept any seat assignment when accommodated. Refusing a seat assignment for a more desirable seat or higher class of service on another flight is not permitted as it will require your bags to be removed from the flight and may result in a possible delay of the flight. Because all HA flights are over the ocean, all flights require a positive baggage match. This requirement is subject to change based on FAA directives at any time.

(  Embargo Periods


During certain peak periods, Pass Travel on other airlines is periodically subject to embargoes. See the Reduced Rate Chart for more specific information on OA restrictions.

(  Meal Listing


Meal Listing is required for all HA transpacific and South Pacific flight segments. Remember a Meal Listing does not guarantee that you or your guests will be accommodated or served a meal on a flight.
(   All Pass Travelers should make a Meal Listing for your full itinerary for all Transpacific and South Pacific flights (e.g., round trip listing in the same PNR). Meal Listings should be made no earlier than 72 hours and no later than 4 hours prior to scheduled departure of the first segment, regardless of your return date.
(   If you are traveling to an international destination, travel documentation information and personal contact name and telephone number must be included in your PNR.
(   If you change flight plans, your original Meal Listing must be changed or canceled. You must not make a Meal Listing for multiple flights on the same routes.

    These calls should be brief and kept to a minimum. Be prepared to give your name, flight number, departure and arrival cities and dates of travel, your Boarding Priority, and employee number. For international travel, you will also be required to provide travel documentation information and personal contact information.

  2. Ticket Offices

    You may also make a Meal Listing for your flights at any ATO or CTO.


(  Identification
In order to expedite the check-in and ticketing process, ensure that you have all necessary documents before you approach the airport ticket counter or check-in gate. You must show your Company ID when checking in. Your guests must be prepared to show some form of government photo identification, including your children 18 years of age or older.
An acceptable form of government identification is one that includes a photograph. The following are examples of acceptable photo identification:

(  Passport
( Armed Forces ID card (active, reserve or retired)
If your guests are unable to obtain some form of government photo identification, they will be required to submit two forms of identification. Ticket agents will accept a photo ID along with a government non-photo ID. Examples of a photo ID include:
(  Union photo ID card
(  Active credit card with photo
(  School photo ID card
(  Company photo ID
The above photo ID must be presented with one of the following non-photo government IDs:

( Selective Service card ( Foreign government record of birth

(  International Travel
When traveling to an international destination on HA, you and your guests, including children, are required to have appropriate documentation (i.e., passport, visa, etc.) to enter and return, connect or travel through another country. Contact the consulate for the destination country for additional information. In addition, you must pay all applicable taxes and/or fees at the time of check-in.

When traveling space available on other airlines which fly via international connections, you are not eligible to transit any country without proper documentation for the transit country. For example, if you are traveling Honolulu to Manila, Philippines on a flight which makes a stop in Seoul, Korea, you must have the proper documentation (i.e., visa) for entering both the Philippines and Korea.

If you and/or your pass travelers do not obtain and carry the documentation required for international travel it can result in substantial fines for other airline on which you traveled.

(  Check-In Procedures

You can check-in up to a maximum of four (4) hours prior to departure at the ticket counter. However, you should check in at least 60 minutes before departure for domestic flights and 90 minutes for international flights. Remember you will lose your seniority at 30 minutes before for Transpacific and South Pacific flights.

If you are traveling on an international flight, you must provide the necessary travel documents to the agent at the ticket counter or departure gate prior to accommodation.

When at the gate, present your Company ID and pass, as required. Move away from the podium and wait for your name to be called. Be ready to board the aircraft immediately after receiving your boarding pass. If you cannot be accommodated, your pass or ticket will be returned to you, if applicable. You will then be automatically transferred to the priority list of the next scheduled flight on that day. If the next scheduled flight is on the next day, you must check in for the flight on the day of departure.

(  Boarding Priority

Your Boarding Priority will be determined by your date of hire within your Pass Travel Classification. Therefore, when you are checking in for your flight, be sure the agent correctly inputs your hire date and the correct information appears on the Non-Revenue Listing

If you prefer not to be upgraded (e.g., traveling with children/FTP), advise the check in agent of your preference. Upgrade to first class will be accomplished in order of date of hire within each Pass Travel Classification. Note: Revenue customers and higher priority Pass Travelers will be accommodated before you. For information on all Boarding Priority/Pass Travel Classification, see Section 15.

(  Upgrading/Downgrading Space Available Travelers

Travelers will be boarded Y or F, based on availability and/or preference. All space available passengers may be upgraded or downgraded to accommodate revenue passengers or for other operational considerations.

Upgrading will be accomplished by an agent prior to boarding. Flight attendants are not authorized to upgrade space available Pass Travelers, so do NOT ask.
